The medical office of Drs. Craswell and Midgley in Charlottetown, Prince Edward Island, Canada has been using Customer Appointment Manager since June 2012. Two people use the appointment software: the receptionist and Janet, their office manager and nurse.
Situation/Challenge
Before implementing Customer Appointment Manager, all their appointments were hand written in individual paper appointment books.
Janet and the receptionist work interchangeably booking patients for both doctors. Their previous manual system was very time consuming and frustrating when trying to find open times for appointments, erasing and penciling in patients when their scheduled time changed, blocking out time, etc.
After researching various scheduling software, they choose Customer Appointment Manager. “It presented us with the best in simplicity and clarity of scheduling,” Janet explained.
Solution
The ability that has become one of their favorite aspects of using appointment software is the simplicity of viewing a patient’s full appointment history. It greatly reduces the incidence of missing or double booking appointments. Being able to access a patient’s appointment profile when the patient is on the phone simplifies and significantly increases their ability to answer or direct patient concerns quickly and efficiently.
The Daily Appointment Sheet is their best liked report as it has helped in chart and appointment maintenance, as well as organizing their out-patient appointments.
Appointment software makes it easier to add notations on a patient’s profile, in addition to notations about the staff and office. On the appointment calendar they indicate days the office is closed, staff vacations and any other times that they can now easily see and plan around. And, when Customer Appointment Manager was first implemented they found it very easy to learn. “We were up and running quickly with minimal difficulty,” Janet said.
